About xBoard

What is xBoard?

xBoard is a visual workspace that turns scattered business information into clear, organized Boards. A Board can represent a customer, project, department, process, event, location, or another area of work.

Inside each Board, Posts organize related information, while Things - including notes, files, documents, links, images, videos, and tasks - keep the details connected. Businesses can also collaborate with customers through shared Boards while keeping their internal Boards private.

How is xBoard different from traditional notes, documents, and spreadsheets?

Notes, documents, and spreadsheets store information as separate files. xBoard connects those pieces inside an ongoing Board, keeping related conversations, files, tasks, and updates together so everything is easy to find and understand.

How is xBoard different from other project management and collaboration tools?

Many platforms require you to build complex systems of projects, databases, templates, fields, and workflows. xBoard uses one consistent structure – Boards, Posts, and Things – so your team can organize and collaborate immediately. You can also share a dedicated Board with customers or other locations while keeping everything else private.

Do I need technical skills or special training to use xBoard?

No. xBoard is designed for everyday business users. You don’t need to build databases, configure templates, or set up workflows. You can create a Board and start organizing your work right away.

Does xBoard work on mobile devices?

Yes. xBoard runs in modern desktop and mobile browsers. You can add it to your home screen for app-like access without downloading anything or installing updates.

Getting Started

How should I structure my xBoard workspace if I have multiple projects or businesses?

Create a separate Board for each business, project, customer, location, department, or other area you want to manage. Use Posts inside each Board to organize the conversations, documents, tasks, updates, and decisions connected to it.

Can I bring my existing notes, documents, or spreadsheets into xBoard?

Yes. You can upload documents, spreadsheets, files, and other content to a Board or copy notes directly into a Post. This keeps your existing information connected to related conversations, tasks, and updates.

Is there an onboarding checklist or guided tour inside xBoard?

Yes. xBoard includes a welcome video and an interactive guided tour that introduces the main features and helps you create your first Board. You can revisit the tour anytime.

Customer Collaboration & Sharing

What can a customer see inside xBoard?

Customers can only see the specific Customer Board you shared with them and the content inside it. They cannot see your internal Boards, other customer Boards, or any private parts of your workspace.

Can my business see the customer’s other Boards?

No. Your business only sees the shared Customer Board connecting that customer to your organization. Any other Boards in the customer’s xBoard remain private unless they invite you.

What roles and permissions are available on a Board?

xBoard includes six Board roles:

  • Viewer: Read-only access to Post content.
  • Subscriber: Can view, comment on, and react to content.
  • Contributor: Can add content and manage their own Posts.
  • Author: Can add, edit, and delete all Posts on the Board.
  • Admin: Has Author-level content control and can manage Board members and settings.
  • Owner: Has complete control over every aspect of a Board they own.
Can I invite my team or clients to xBoard?

Yes. Team accounts let you invite team members into your organization and invite customers or other locations into shared Boards. Each person only sees the Boards they have access to.

Can multiple people edit the same Board at the same time?

Yes. Multiple people with the correct permissions can work in the same Board simultaneously. A Post is temporarily locked while someone is editing it to prevent conflicting changes.

Does xBoard include activity history or version history?

xBoard includes an activity history that shows what changed, who made the change, and when it happened. It does not currently include full document-style version history.

How many customers can I import?

Each user can import up to 5,000 customer records by default. Contact xBoard if you need a higher limit.

Features & Workflow

Does xBoard replace a CRM?

No. xBoard is not a full CRM. It is a visual workspace with customer portal and collaboration features that keep communication, documents, tasks, updates, decisions, and history together. It can support lightweight customer management workflows but does not include sales pipelines, forecasting, invoicing, or financial tracking.

What types of information can I store in xBoard?

You can store notes, documents, spreadsheets, images, videos, audio, links, tasks, messages, updates, decisions, and other business or personal information. Everything stays connected within Boards and Posts.

How does search work across my xBoard workspace?

You can search across Boards, Posts, Things, conversations, and people from one place. Filters, categories, and Tags help you narrow results and quickly find specific documents, messages, tasks, or updates.

What task management features does xBoard include?

xBoard tasks support due dates, time estimates, workflow statuses, and Stages views to help you organize, prioritize, and track work.

Personal & Work Accounts

Can I use xBoard for both personal and work projects at the same time?

Yes. Your personal workspace stays private, and each organization or shared Board has its own members and permissions. You can switch between your personal profile and organization profiles with one click.

How are personal and work profiles kept separate in xBoard?

Your personal Boards remain private to you. Each organization controls its own members, permissions, and work. Nothing is automatically shared between profiles. You can switch between profiles from the same account without mixing information.

Do I need separate subscriptions for my personal profile and my work profile?

No. You can use a Solo Free profile alongside an organization profile without paying for two subscriptions. Solo Complete and Team Complete are billed separately only if you choose to upgrade your personal profile or own the organization.

Can my employer see my personal Boards?

No. Your employer can only see the organization’s Boards and any Boards you explicitly share with them. Your personal Boards, files, and activity remain private.

What happens if I leave my company?

The organization can remove you from its xBoard, ending your access to its Boards and information. The organization keeps its work and history.

Pricing & Accounts

Is there a free plan for xBoard?

Yes. Individuals can use the Solo Free plan. Teams can start with a free 30-day Team Trial before upgrading to Team Complete.

What is included in the free plan and the paid plans?

The Solo Free plan includes essential features for organizing personal work. Paid plans add unlimited Boards, extended activity history, expanded storage, advanced task workflows, permissions, smart tagging, and other enhanced features. Team Complete is designed for organizations managing team members and collaborating with customers or other locations.

How does the xBoard trial work?

Team accounts include a free 30-day trial with access to Team features. Solo Free accounts do not expire.

What happens when the trial ends?

When the trial ends, access to the organization is paused. Your Boards and information remain securely stored for 90 days, giving you time to upgrade before the data is permanently removed.

How do I upgrade or cancel my subscription?

You can upgrade or cancel your subscription from the Account section in xBoard. You can review your plan and manage your subscription from the same place.

Integrations & Data

Does xBoard integrate with other tools?

xBoard does not currently offer direct third-party integrations. You can still add links, documents, and other content from the tools you use so everything stays connected inside a Board.

Can I export my data from xBoard?

You can download the files stored in xBoard. Full workspace exports and exporting Posts as PDFs are not currently available.

Is my data private?

Boards are private by default. Only people you invite can access a private or shared Board. When a business connects an internal Board to a shared Customer Board, the customer sees only the shared Board - the business’s internal Board remains private from the customer. Public Boards and public links can be accessed only by users who are signed in to xBoard.

Where is xBoard hosted?

xBoard’s application servers and databases are hosted in the United States using Amazon Web Services (AWS). We rely on trusted cloud infrastructure and security practices to keep your information safe.
